Position Overview:

The Program Manager (PgM) has overall responsibility for the successful management and on-time delivery of quality projects within budget for several brands / accounts. They ensure that their delivery teams, made up of project managers and producers, are effectively managing all aspects of project budgeting, planning, management, quality control, and launch. They connect the communications and workflow across all projects (digital, experiential, video, print, social, media, etc.) and functions (CB teams, vendors) to be sure CB delivers holistic and measurable solutions. They work to improve the financial success of all projects in their control. They manage the career development and staffing of their delivery team. They are leaders in the Delivery group.

Responsibilities:

  • Manage integrated projects from request through to final delivery.  Develop clear and thorough project plans, detailing internal tasks, client reviews and approvals. Set up and manage necessary touch points such as project stand ups, status, hours review, etc.
  • Manage internal cross-functional teams to ensure they have the time and materials needed to complete their tasks and understand their priorities. Work with resource manager and relevant management to ensure team members are properly allocated and staffed on the project. Ensure the team members are collaborating across functions
  • Ensure projects are delivered on time and within budget.  Ensure projects are managed with a holistic approach to ensure multi-project and multi-channel workstreams are not siloed and make sense in terms of timing and priority. Understand client review and approval processes. Has a keen sense of constraints, concerns, and opportunities from the client’s and agency’s perspective. Train team on project management best practices
  • Ensure the project teams are working effectively.  Work with project managers to adjust project plans, expectations or budgets as the need arises. Step in to adjust any aspect of the project to ensure success
  • Assist their team in managing their work by providing guidance and support based on years of experience in managing a variety of project types across multiple platforms (digital, experiential, video, print, etc.) and project complexity (all tiers)
  • Run integrated programs across various platforms and jump in on projects for all media in a pinch
  • Identify risk and potential issues before they become a problem and work with their teams, account, and clients to resolve
  • Ensure their team is following all CB review processes and delivering quality work
  • Ensure their team is following established CB processes. Identify where processes can be improved, develop an approach, and work to implement changes as needed
  • Gather or create estimates and assumptions for projects. Provide detailed steps and assumptions for SOWs. Ensure projects are managed within and delivered to scope. Ensure teams flag when work is going out of scope and ensure resolution. Work with delivery and account team to understand and hit forecasts. Ensure vendor invoices are approved in a timely manner. Partner with account teams to ensure financial success of projects an brands. Keep timesheet up to date
  • Partner with account management to understand the strategic imperatives, critical success factors and lead the brand. Ensure teams are aligned on what is required and identify any gaps in planning, services provided, or opportunities. Work with account teams to set client expectations and proactively manage concerns and issues, as needed
  • Interact with clients to relay project plans, status updates, communicate and resolve project information, as needed
  • Lead delivery teams to ensure the projects stay within scope and timeline. Proactively identify and solve issues as it relates to project execution, project financial success, and team spirit
  • Provide full management and support of team.  Conduct interviews, onboard, train, and conduct coaching and review sessions. Provide support and talk with team about growth challenges and opportunities
  • The PgM works independently and collaboratively. Management oversite is experience and proficiency dependent

Reporting & Team:

  • Reports to Director of Delivery

Desired Skills & Experience:

  • 10-15 years of project management experience, some account management experience a plus
  • Bachelor’s degree in marketing, communications, or operations management, advanced degree a plus
  • Familiarity with the pharma, healthcare, or similar industry
  • Heavy experience in both digital and print project and program management
  • Experience in managing projects in an agency setting, including new business pitch work. Great understanding of digital, experiential, content (both still and motion), and print work at varying level of scope and complexity. Experience in managing projects in multiple methodologies – waterfall and agile
  • A great communicator (verbal and written) with a strong attention to detail. Has experience with presenting in a business setting.  Can present and lead prospect, client and internal meetings
  • Experience in leading, collaborating, managing and working with teams (co-located, remote and cross-functional) to deliver on projects. Strong emotional intelligence with the ability to adjust style of management and communication (written and verbal) to fit the situation and individuals
  • Proven ability to think on their feet, identify potential issues and work with their teams and management to solve
  • Strong collaboration and conflict resolution skills
  • Experience in managing at least 3 direct reports in overseeing their work and career development
  • Experience in conducting interviews, writing reviews, working with direct reports on their growth plans, and able to have constructive conversations to improve performance. Able to lead direct reports in finding solutions and does not solve the issues for them (in most instances)
  • Proficient in Microsoft office suite. Experience with project management tools such as Workfront, MS project, Smartsheet, and the like
